Using your own manuals

Most venues already have their rules written down. They are in a folder, on a sheet on the wall, or in a file someone made years ago. Upload that file under Training → Your manuals, and you can use it in two ways.

The rule

The bot never answers from the file itself. It answers from house rules. To let staff ask about your manual, make house rules from it and publish them.

Two things a manual can become

  • A course. Short lessons with questions, sent to your team with /train. Use this to teach something step by step, like how to open the bar.
  • House rules. Short rules the bot answers from when someone asks a question, like “What do we do for a refund?”. Use this for your regulations: refunds, complaints, safety, money and the rest.

You can do both with the same manual.

How it works

  1. Open Training → Your manuals and press Upload a manual. PDF files, photos and text files all work.
  2. The system reads the file one time. When it is done, the row says Ready.
  3. To make a course: go to Courses, press New course, pick One of your manuals, and tick the manual. Then press Create course and Write the lessons. Read the draft and publish it.
  4. To make house rules: go to Your house rules. Under Import rules from a manual, pick the manual and press Make rules. Short rules appear as drafts in the right sections. Read them, change what you need, and publish them. See Your house rules.

Good to know

  • Reading a photo or a scan costs credits, one time per page. A PDF that already has its text inside, for example one saved from Word, costs nothing to read.
  • Making a course or making house rules costs a few credits, one time. After that, your team reads and asks for free, as often as they want.
  • Nothing reaches your team until you publish it. New lessons and new rules are drafts first.
  • Upload the same file two times, and the system notices. You keep the copy it already read.
  • A very long manual is read from the start only. The row tells you when this happens. To cover all of it, split it into smaller files.
  • Make rules from the same manual two times, and you get no double rules. A rule with the same title as one you have is skipped.
  • You cannot delete a manual while a live course uses it. Archive the course first.
  • The limit is 30 MB for each file.
