Inviting your team to training

Your floor and kitchen staff don’t have logins here, and they don’t need one. They join training through the chat app already on their phone.

The rule

A code works once and expires after 30 minutes. Send it when the person is ready to use it, not the week before.

How it works

  1. Open Training → Your team. Anyone already on your staff list is there. To add someone new, press Add someone — a name and a role, nothing else.
  2. Press Get a code next to a person. An eight-character code appears.
  3. Press Copy link and send it to them however you already talk — the link opens the chat, and they just tap start.
  4. Their row changes from Not set up yet to show how many courses they’ve finished.
  5. From then on they send /train whenever they have a couple of minutes, and get the next lesson.

Good to know

  • The code has no lookalike characters — no letter O, no number 1 — so it survives being read aloud across a noisy room.
  • Issuing a new code for someone cancels their old one. Two live codes for one person means whoever redeems second quietly takes over the first one’s history.
  • A person joined this way can only do their training. They cannot ask about takings, bookings, or anything else the venue’s assistant handles.
  • Adding someone needs no email and no invitation — a name is enough. Only owners and managers can add, rename or remove people.
  • Three ways to stop someone, for three situations: Remove access unpairs their phone but keeps them listed; Mark as left takes them off the list and keeps their results — tick Show people who have left to bring them back; Delete is only for a name typed by mistake, and anyone with history is refused.
  • A role sets what someone does in the venue, never what they can be taught. Anyone here can be sent any course.
