How staff training works

Staff training sends short lessons to your team on their phone. They read a lesson in the chat app and answer a question about it. You see who studied and how they did.
This page explains how all the parts fit together. Read it first. The other training pages go into each part.
The rule
A person gets a course only when four things are true. The course is published. The person is on Your team. The course is given to them. They joined the bot on Telegram with their code.
If one of the four is missing, that person gets nothing. There is no error. The course page tells you which one is missing.
Two lists of people
There are two different lists of people. This is the part that confuses most people.
- People who log in to this admin. These are you, your managers, and anyone you invited with an email. They use this website.
- Your team. These are the people who study. You find them under Training → Your team. Most of them never log in here. They only use the chat app on their phone.
The two lists are not joined. A manager who logs in here is not on Your team by themselves. If a manager must study a course too, add them to Your team as well.
Two different links to the bot
The same bot does two jobs. Each job has its own link.
- The admin link. You make it in Telegram assistant. It lets a person who logs in here work on the venue from Telegram. For example, they can change a price or read today’s orders.
- The training link. You make it in Training → Your team with Get a code. It is the only link that gets lessons.
A person with only the admin link gets no lessons. A person with only the training link can study, but cannot work on the venue.
One Telegram account can have both links. This is normal for a manager who also studies. They make each link once.
Who gets a course: the four steps
- Publish the course. A draft goes to nobody. Press Publish when you are happy with it.
- Put the person on Your team. Press Add someone. A name is enough. Press their job too, and they get that job’s courses. They do not need an email.
- Give the course to them. On the course page, pick them under Who has to do this and press Assign. Or add the course to a job on Jobs. Then everyone in that job gets it.
- They join the bot. On Your team, press Get a code, then Copy link, and send them the link. They tap it in Telegram. That is all they do.
At the top of every course there is a note. It says how many people get the course. If nobody gets it yet, it says which step is missing and gives you a link to fix it.
Where the lessons come from
You make a course in Training → Courses with New course. Then you fill it in one of two ways.
- Write the lessons. The system writes a first draft for you. It uses your subject, your own menu, or a manual you uploaded. This costs credits one time.
- Write them yourself. You write each lesson by hand. This costs nothing.
You can mix the two. Let the system write the draft, then change the words, and add or delete lessons and questions yourself.
Every lesson needs at least one question. A course with a lesson that has no question will not publish.
After you publish, you can still fix the words. You cannot add or remove a lesson or a question, and you cannot change the right answer. Your team already has results for them. To change these things, archive the course and make a new one.
There are also ready-made starter courses on the Courses page. They are short, with one or two lessons each. Use them as a start and add your own lessons.
What your team can do in the chat
After they join, your team can send these to the bot:
- /train gives them their next lesson. They read a short piece, tap Got it, then tap an answer. It takes about two minutes. This is the main way to study. It is free for you after the course is written.
- /practice gives them harder questions. They type the answer in their own words, and the system marks it. It only works after you turn on Let staff type answers on a published course. Marking a typed answer costs a little each time.
- /progress shows them how far they are.
- A question. They can just type a question, like “Can I bring my own wine?”. The bot answers from Your house rules. It only works after you turn on Let staff ask questions and publish some rules.
The simple way to remember it: /train is tap to answer. /practice is type to answer. A question is for help during work.
Languages
Each person can study in their own language. For example, a Thai cook at an Italian restaurant can get lessons in Thai.
- Their language. Set it on Your team, in the Language list next to their name. Or the person sends /language to the bot and taps their language. If you set nothing, they get your venue’s main language.
- Lessons. Each course is translated one time into each language your team uses. Everyone in the same language gets exactly the same words, so scores stay fair. This costs a few credits, one time for each course and language.
- The right answer never changes. Only the words change. The questions, the order of the answers and the right answer stay the same.
- Questions and practice. When someone types a question or a practice answer, the bot replies in the language they wrote in. A question in Thai gets a Thai answer, even when your house rules are in English.
- Buttons and bot messages come in English, Thai or Italian. In other languages they stay in English, but the lessons and answers still come in that language.
- When you change a live course, its translations are made again. Until they are ready, the person sees the original words for a few minutes.
House rules: no course needed
Your house rules are your venue’s regulations: refunds, complaints, safety, money, what to do in a fire. You keep them on Training → Your house rules. The bot answers questions from them.
- You do not need a course for this. A person on Your team who joined the bot can ask right away. They do not need /train first.
- Managers can ask too, with only the admin link. The admin assistant can read your published house rules. It needs the tool Read your house rules to be on in Telegram assistant, under What it may do.
- You can make rules from a PDF. Upload your staff handbook under Your manuals. Then on Your house rules, use Import rules from a manual. The rules come in as drafts. Read them and publish them.
- The bot never reads the PDF itself. It answers only from published house rules.
Good to know
- The Let staff type answers switch is for the whole venue. You find it on a course page, but it turns typed answers on for every course, not only that one.
- A code works one time and stops after 30 minutes. Send it when the person is ready to use it.
- Finished people stay on the course. Their results stay too.
- Who can do what. Owners and managers write courses and add people. Shift leads can give a course to people, but cannot change it.
- Nobody needs to join again when you change a course or a permission. A person joins the bot one time.
Common questions
I published a course. Why did nobody get it? Open the course and read the note at the top. It tells you which step is missing.
My manager uses the bot every day. Why does the manager get no lessons? The manager has the admin link, not the training link. Add the manager to Your team and send them a code.
Can I add a lesson to a published course? No. Archive it and make a new course. You can copy the text from the old lessons.
I uploaded our regulations as a PDF. Why can’t the bot answer about them? The bot answers from house rules, not from the file. Open Your house rules, use Import rules from a manual, then read and publish the rules.
Can my Thai staff study in Thai when our courses are in English? Yes. Set their language to Thai on Your team, or ask them to send /language. The course is translated for them one time.
Does my team need an account or a new app? No. They need only Telegram on their phone.
